OUR SUPPORT TEAM
Our director of operations keeps the office moving and running smoothly. Handling human resources, ensuring that each department’s needs are met and they are collaborating with each other, overseeing the finances of the firm, putting out fires as they come up, and everything that happens in between are just a few of the many important things the Director of Operations is responsible for. If our law firm were an engine, the Director of Operations would be the mechanic that keeps it humming along.
Making sure our clients’ needs are met and questions answered quickly is a daunting task that our Concierge handles with professionalism and grace. Whenever an attorney is needed, whether it be a quick question, or a complex issue, addressing the issue as soon as possible is the Concierge’s job. Sometimes the answer to the question is a quick one, sometimes it requires some research, and sometimes an appointment with an attorney is necessary. Whatever it takes, our concierge makes sure that each Life Plan client is taken care of.
When a client dies and it’s time to finalize the details of the estate plan, the Settlement Department takes over. Making sure that the Trustee’s job is done correctly and the beneficiaries receive their share of the estate is a critical task. There are legal requirements for settling the estate as well as ensuring that the decedent’s wishes are carried out. It is a tedious task handled carefully and patiently by this department.
It seems in our office that all roads lead to our administrative assistant. From answering phone calls, handling mail, taking deliveries, making sure our supplies are in stock, greeting clients, and everything in between, our administrative assistant keeps our front office running smoothly. Not only are the tasks numerous, but they must be completed in between an endless stream of incoming phone calls. Our administrative assistant handles all of it elegantly.
Gathering, sorting, scanning and keeping track of the never-ending confidential paperwork, ensuring that it is delivered to the correct person at precisely the right time is the Filing Department’s overwhelming task. Making sure that our clients’ estate planning documents are properly cared for and processed in a timely manner is crucial. In addition to having a system to ensure that all the documents are accounted for, these talented individuals are very skilled and precise at handling all of these time sensitive documents.
Collecting fees and paying bills is a necessary part of every organization and the Finance Department handles all of this with extreme precision. As attorneys, we are under strict requirements to account for every dollar that we collect and to whom it is paid. Our people in the Finance Department are very careful and conscientious in making sure that all funds are accounted for and our vendors are paid in a timely fashion.
Making sure that assets are properly titled in the trust and beneficiary designations have been completed correctly is the responsibility of the Funding department. This is a never ending task as the assets in a client’s estate often change. If the assets aren’t registered and titled correctly, there could eventually be a problem. The goal of this department is to avoid the problem before it happens.
Arranging appointments, moving appointments, cancelling appointments, rescheduling appointments, and confirming appointments for all the attorneys requires a unique set of skills. Not only do they handle appointments, but they do an amazing job at making sure all the little details are organized for our workshops. These very talented people complete this difficult job with finesse and expertise.
The talented and skilled members of our word processing department are at the center of our document creation. It is here where all of the documents that communicate our clients’ hopes and desires are translated into legal language. Ironically, after the legal language has been prepared, they translate the language back in to laymen’s language in order for the clients to understand and review their wishes before they sign the documents.
